Who we are
Beyond Egypt runs Beyond Camps and this parent portal.

What we collect
About you: your email address (to sign in), your name, your WhatsApp number (we use it as your contact phone number), your preferred language, and the time you accepted this notice.
About your children: name, date of birth, gender, school and grade (both optional), a photo of your child if you choose to add one (only you and Beyond staff see it, and we never publish it), and whether you allow us to publish photos and videos of them.
Health information you give us: whether your child has any allergies, and any notes about allergies, medical conditions or dietary needs.
Family contacts: the name, relationship and phone number of people we may call in an emergency or who may collect your children.
Registrations and payments: the camps you register for, your reference code, the amounts, the payment method and transfer date, and the screenshot or photo you upload as proof of payment. When you agree to the camp terms or to photos, we record the time and which version of the wording you saw.
Technical information: your IP address when you sign in, used only to protect sign-in from abuse, and a few small cookies (see "Cookies" below).
Why we use it
- To let you sign in and manage your family's details.
- To register your children for camps and check that each child fits the camp's age range.
- To confirm your payments.
- To keep your children safe at camp, using their health information and your emergency contacts.
- To contact you about your registrations by email or phone.
The portal has no advertising or tracking tools.
Who can see it
- You see your own family's details. No other parent can see them.
- Beyond staff with an admin or customer-service account can see children's details (including their photo, if you added one), family contacts, registrations and payments.
- Health information is hidden by default. A staff member has to open it, for one child at a time.
- Beyond's admin can download lists of registrations and payments to run the camps. These lists never include health information.
- Our service providers run the portal for us: Supabase (database, sign-in and stored files), Vercel (hosts the website) and Resend (sends our emails). They store the data in Europe.
- We don't copy your data into any other outside service, such as Airtable.
- We don't send WhatsApp messages at the moment. We may add them later, only for parents who agree to them separately.
Photos and videos
We publish photos or videos of a child only if you have given photo consent for that child. A child's name is never shown next to a photo.
How long we keep it
- Your account, your children's details, their health information and your contacts: as long as your account exists. A child's photo is kept until you replace or remove it.
- Removing a child: you can remove a child who isn't registered for a camp. This deletes their details and their photo permanently, straight away.
- Deleting your account: email or call us. Our team handles these requests by hand.
- Registration and payment records are Beyond's financial records. We keep them even after an account is deleted.
- Proof-of-payment images: deleted 90 days after the camp ends. The payment record (amount, date, method) is kept.
- Sign-in protection data: deleted within one day.
Your choices
- You can see and correct your children's details and your family contacts in the portal at any time.
- To correct your name, phone number or email address, to ask for a copy of your data, or to delete your account, contact us.
- You can withdraw photo consent at any time by unticking the box on your child's page.
Security
All data is sent over encrypted connections (HTTPS). Each person can reach only what their role allows.
Changes to this notice
If we change this notice, we'll ask you to read and confirm the new version the next time you open the portal.
